Five starting points
Small business stock: item, SKU, location, quantity, reorder level, cost and supplier. Home inventory for insurance: room, item, model, serial number, date bought, price and whether you kept the receipt. Moving boxes: box number, room, contents and fragile. Books, records and games: barcode or ISBN, title, author or artist, condition and shelf. Pantry and freezer: item, quantity, where, use by.
Every sheet starts with a code column for the barcode, ISBN or box label, so you can scan instead of typing. Add your own columns in the box, separated by commas.
Keeping it up to date
Count one area at a time and write the date in last counted. Set a reorder level for anything you can't run out of, and sort by quantity to see what is low. For insurance, add a photo of each room and of serial number labels, and keep a copy of the file somewhere other than your home (email it to yourself).
The Excel file keeps codes as text, so barcodes with leading zeros stay intact, and quantities as numbers, so you can add them up.
How do I make an inventory spreadsheet?
Start with one row per item and columns for what you need to know: code, name, location, quantity and the date you counted. Pick a layout above and download it ready-made.
Is there a free inventory template for Excel?
Yes, this one. It downloads as a real .xlsx file with a frozen header row, and as CSV for any other program. No sign-up.
Can I use it in Google Sheets?
Yes. In Google Sheets choose File › Import › Upload and pick the downloaded file, or drag it into Google Drive and open it with Sheets.
What should a home inventory for insurance include?
Each valuable item with its room, brand and model, serial number, when and where you bought it, what you paid, and whether you have the receipt and a photo. Keep a copy away from home.
How do I do inventory for a small business?
List every item with a code and a location, count one area at a time, write down the count date, and compare against what you expect. Scanning barcodes instead of typing cuts mistakes.
Can I scan barcodes into this sheet?
Yes. Use the barcode scanner to Excel tool on a phone or laptop, or a USB barcode scanner: click a cell in the code column and scan.
